I highly recommend creating 5 Playlists:

1) Cocktail

2) Dinner

3) Dancing

4) Family

5) Friends.

Additionally you could add one for "Must Plays" if you absolutely want to ensure something is played. That way I can distinguish between a request that might not be played , because there wasnt time.

Advice On Music Selection

"When people feel connected they have a better time". I apply this to music. When selecting music for your special event, you have to think about everyone that is attending. You're probably going to have food selections to choose from, because not everyone loves Chicken.

I recently had someone contact me for their wedding. They told me they absolutely did not want any old music at their wedding, even though 20 to 30% of their guests would be older. She couldnt stand cliche songs like September or We Are Family. I lost this client, because I tried to play devils advocate, even though I assured her that I was probably the right DJ for her. She was looking for a non stop dance party.

Most people dont realize you have 3 hours or more of dance time at a typical 5 hour event. That is a lot of dancing. It should encompass lots of different genres. Over the years many clients have asked me, which weddings have I enjoyed the most. I'd have to say its the ones that I'm able to play from a wide range of music. Sometimes thats not possible, because the crowd will only dance within a narrow range. Thats what reading a crowd is all about. I often compare being a DJ to solving a puzzle. A great party is all about putting the right pieces of music in the right place to complete the puzzle.

Thats why I recommend creating a playlist for your friends and family that are separate, because they are mutually exclusive. That way everyone will feel connected and leave talking about the awesome sound track for the evening.

Interactive DJ

I had a new client DJ meeting last night and the question came up about interacting with the audience. I really dont talk much on the microphone, other than introductions and to make formal announcements. Some DJs are really spectacular MCs and they do a phenomenal job, but thats just not me.

I believe music should do all my speaking. I told this client, that what I do cant really be described in words, you'd have to experience it for yourself. However, this is just a glimpse into my world. The video below was taken while people were eating dinner, but felt compelled to come to the dance floor, because the music should do all the work.

Master of Ceremonies

My Style as an Master of Ceremonie is quite simplistic, I do just what I have to do, and nothing more. Not that I’m not capable of more, but I really believe that most people just want to have a good time.  I really believe in letting the music do most of the work. Of course I handle everything as you’d expect from an MC from lining your bridal party up, welcoming your guests, to introductions, to speeches, to our final goodbyes. 

I arrive about 1 1/2 hours to 2 hours prior to the time you hire me, depending on what sort of package you select.   Additions like Photobooths and Lighting take longer to setup, thus the added time for setup.   I’m going to also assume a traditional start time for cocktail hour.  When your guests arrive, there will be music playing. The bride and groom often take pictures during cocktail hour and finish towards the tail end of that time.  Thats when your coordinator will gather you, you’ll bustle, and have a few quick refreshments.  With that said here is the typical itinerary. 

1)  I will line your bridal party up and go over their name one final time.
2) I will then enter the ballroom, ask people to be seated and when everyone is ready introduce myself to your guests.  I will also welcome them, get everyone excited and cheering.
3) I’ll introduce your bridal party and you, while also playing selected music.
4) I’ll introduce both of you into the room, and upon entering into your first dance.
5) I’ll announce all your selected guest speakers for the toast.
6) Dinner
7) After Dinner. I’ll ask everyone to direct their attention to the cake ( if there is one ) Then Parents Dances
8)  Then the Party, and very little announcement after that.  I let the music do the speaking for itself.

What does a DJ do exactly ?   Many times I’m asked what is my style, or what kind of music do I play or do I take requests.   Yes, of course music is extremely important and that subject can be covered extensively when you’re searching for someone perfect for the type of event, that you’re planning. However, there are a few other extremely important aspects associated with a DJ, that many people take for granted and is often over looked. That is the flow of your event, or should I say creating the perfect work flow.

Creating flow is about keeping an audience engaged and keeping things running in a timely manner. A DJ can actually help facilitate the speed in which formalities take place and the dancing. For instance I just attended an event where the DJ  waited until after dinner for people to dance. In fact he waited until after the other formalities were over like cake and parents dances.  So from the time we sat down for dinner until after the formalities, 2 hours had elapsed.

There were no announcements made during that time.   It wasn’t the venues fault, people at this event were just taking their time eating. Some people enjoy that type of experience. From my perspective, there were plenty of missed opportunities to keep a lively and engaged audience.

So what could have been done differently? One way to create flow would have been to have the formalities in between dinner courses. After Salad, there could be some engaging, sing along type of music, or perhaps some other formalities, like parents dances, could have been completed.   Another might involve trivia about the bride and groom. 

Another way to create flow is obvious, inviting people to the dance floor.   If you have a good dancing crowd, this would be a great time to let people know the dance floor is open,  whether it was for a couple of slow dances, or some fast dancing or both.

Creating flow should be something you speak to your DJ about  when you’re looking to hire them.  You’ll gain some insight, how they handle that sort of thing. Other considerations for creating flow are, lining up the bridal party for the entrances, does your DJ do that or do they rely on the function coordinator.  This might not seem like much but a DJ that is proactive can definitely influence the outcome and keep your event lively, on time and fun.

The Wedding Process

RI DJ Bob Carpenter Wedding Process

When you decide to move forward and hire either myself or our team members, there are several steps that are outlined here, that I call the "Wedding Process"

  1. When you hire me, everything is handled online, from the signing of the contract, to the deposit ( 20% down), to filling out all your information and song requests on my online system. Feel free to take a tour.

  2. Planning begins, and you'll receive my personal cell phone number. I am always here to help with questions.

  3. Six Months prior to your wedding you'll receive an email offer for a creative session, in which we'll discuss your overall vision and go over Enhancement Options. We can either meet in my studio in Smithfield RI, or we can schedule a phone meeting.

  4. Two months out, the automated system will notify you to setup a final planning meeting ( Usually 2 to 3 weeks before your wedding) which will inform you to start filling out all your information online, which would include formal introductions and music selections. Please have as much information filled out as you can before the meeting.  It will also notify you that final payment is due 30 days before the event.

  5. The final planning meeting: Either by phone or in person at my studio, where we will go over name pronunciations, timeline, and other detailed information.

  6. The week of the wedding, its time to get excited because all the planning will be over, and the celebration is only a few days away. Woo-Hoo
